QReserve Bulk Resource Importing Guide

Use bulk CSV importing to rapidly populate your resource inventory or update existing resources (Administration → Resources → Upload).

⚠️ 4 Critical Formatting Guardrails

To prevent upload errors and ensure your CSV spreadsheet parses cleanly on the first try, review these core formatting rules before preparing your file:

  1. Enter All Durations in SECONDS: QReserve calculates all booking durations and buffer windows in seconds (e.g., enter 1800 for 30 minutes, or 28800 for 8 hours). Do not enter raw minutes or formatted time strings like 0:30.
  2. Build Site Prerequisites First: If your CSV contains values in the Tags, Groups, Credentials Required or Custom Properties columns, those tags, user access groups, safety credentials and custom properties must be created in QReserve first.
  3. Rates Are Uploaded Separately: Pricing rates cannot be attached via the primary resource CSV. Once your resources are imported, configure rate schedules under Administration → Resources → Rates.
  4. Keep Resource IDs Consistent: When updating existing resources, ensure the Resource ID remains unchanged to prevent the creation of duplicate entries.

🛠️ Step-by-Step Import Workflow

Follow this linear sequence to ensure a smooth data import:

Step 1: Pre-Build Prerequisites in QReserve

Before uploading, ensure your User Groups, Credentials, Custom Properties, and Resource Tags exist in QReserve. The importer matches text strings in your CSV to pre-existing site IDs.

Step 2: Download or Copy the CSV Template

Download our pre-formatted spreadsheet template below, or copy the sample data block directly into Excel, Google Sheets, or Notepad. Note that this is not an extensive list of all data points you can upload, but rather an example of various resource types and how they are configured in the sheet. For a full list of parameters, see the Reference Dictionary below.

Editing Existing Resources

If you are editing existing resources, the most efficient method is to go to Administration → Resources → Download (top right corner). This CSV export will include all your resources along with their current Resource IDs, ensuring that your updates are mapped correctly. 
⚠️ Note: You do not need to include every column in your upload. When updating existing resources, only include resources you intend to update; unchanged resources can be omitted. 

Step 3: Upload and Audit in the Admin Console

Navigate to Administration → Resources → Upload. Select your .csv file. QReserve will parse your file and display a pre-import preview modal detailing any conflicting values or missing required fields.

Step 4: Configure Resources & Verify Permissions

Once resources are imported, you can configure additional settings such as rate schedules, forms, scripts, and file attachments. It is a best practice to verify that your resources are correctly configured and permissions are accurate. You can test this by using bot or test accounts in addition to your administrative account. Troubleshooting

When uploading data, your CSV file will first be parsed by the QReserve platform for any initial problems. Once upload has begun, additional issues may arise for invalid or conflicting data values. These errors are typically returned to your upload window with information about the row and the column where the error occurs. If you encounter any issues with uploading your data, please contact us.
