🗓️ Phase 1: Plan & Prepare

Phase Objective: Gather your rules, user groups, and resource requirements before you start setting up your QReserve Site.
Phase Checklist
- Step 1: Complete the Onboarding Questionnaire
- Step 2: Catalog Resources & Map Workflows
Step 1: Complete the Onboarding Questionnaire
Before you start adding resources or setting up user lists, complete the QReserve Onboarding Questionnaire. It helps set clear goals and defines how your site will work.
- Why Start Here? This questionnaire helps you prepare for a successful launch by guiding you through your operational rules, access needs, and goals.
- The Goal: Establish your operational rules and objectives first to streamline the configuration of your site.

Gather all your resource details, operational rules, and site parameters into your spreadsheet template prior to logging into QReserve.
What to Catalog in Your Spreadsheet:
List all resources in the template and assign a Resource Class (e.g., Room/Space, Equipment, Person, Service, Consumable). Map out the following attributes for each item:
- Core Details: Basic descriptive information including Resource Name, Description, and Location (building/room).
- Booking Guardrails: Operational limits like Min/Max Booking Durations, Lead Times, Minimum Notice, Buffer/Cleanup Windows, and Weekly Maintenance Blocks.
- Access Control & Approvals: Approver assignments and rules governing who can book each resource.
- User Groups: Operational roles (e.g., Students, Faculty, Commercial Clients) used to grant booking access, enforce specific reservation rules, and set up tiered pricing.
- Credentials: Mandatory safety badges or training certificates required before a user can reserve an item.
- Custom Properties: Custom data fields needed beyond standard QReserve parameters (e.g., Asset Tags, Grant/Project Numbers, Department Codes) for internal tracking and reporting.
- Administrative Tags: Internal categorization labels (invisible to regular users) used for quick filtering and back-end reporting.
